Job Title: Document Scanning & Archiving Technical Proposal Manager

Department: AIM Operations (Corporate)

Job Summary: We are currently seeking a skilled and motivated AIM Technical Proposal & RFP Manager to join our team. In this role, you will be responsible for managing major RFP engagements across the US & Canada. The ideal candidate will have strong technical writing skills, a thorough understanding of proposal responses for Federal Government and State/Local/Education (SLED) and processes. The ability to collaborate with various teams to develop comprehensive proposals of winning themes, proposal concepts and content elements.

Duties and Essential Functions:

  1. Technical & Price Proposal Development:
    • Lead the development of technical and price proposals for submission.
    • Collaborate with customers and the ARC team to create thorough proposals.
    • Customize each proposal to meet the specific requirements of each technical proposal.
    • Maintain a consistent and professional appearance for all proposals.
    • Work with ARC Production Management to develop competitive pricing.
    • Obtain senior ARC management approval on pricing structure.
    • Operate under tight schedules and meet deadline requirements.
    • Deliver completed bid packages to the proper ARC team for final and timely submission to the customer.
  2. Open Bid Monitoring and Tracking (Public and Private Bids):
    • Use the CRM database to track all proposal information required to develop weekly, monthly, and quarterly reports. Ensure data is accurate and updated in real-time.
    • Enter relevant data into the RFP Tracking system for open bids.
    • Organize and prepare proposal responses for Federal Government and State/Local/Education (SLED) buyers.
    • Assign bid tracking/notification to the appropriate ARC Manager.
    • Monitor open RFPs and update the system as the bid progresses.
    • Coordinate question submission and pre-bid meeting activities.
    • Ensure bid responses are submitted before the deadline.
    • Follow up with procurement agencies for bid tabulations.
    • Obtain post-award bid tabulation/evaluation reports and determine reasons for award or non-award to ARC .


    • Learn and understand the methods, technology, and best practices used at ARC Scanning Centers.
    • Utilize a strong understanding of labor costs, material costs, and direct/indirect costs to ensure project profitability.
    • Be a team player and leader, bringing out the best in others.
    • Maintain a positive "Can-Do" attitude.

    Qualifications and Experience:

    • Strong technical writing skills.
    • Understanding of document scanning technologies and processes preferred.
    • Advanced skills in MS Office, MS Access, CRM, Adobe Acrobat, and Zoom.
    • Associates Degree or two years of technical writing experience preferred
